When submitting documents for notarization, it is essential to follow the legal requirements to ensure the process is valid. The following steps are required for all documents to receive a notary stamp:
- Valid Identification: Each party signing the document must provide proper government-issued photo identification (Health cards are not accepted).
- Original Documents:All original documents must be presented to the Notary Public for review.
- Document Completion: Ensure all forms and sections of your documents are fully completed before your visit.
- Signatures and dates must be left blank:Leave signature and date area blank, until you are in the presence of the Notary Public.
For documents requiring certified true copies, you must bring both the original document and the copy to the Notary Public for verification.
To ensure compliance and proper notarization, all applicants must provide valid identification when visiting the Notary Public. This is essential to confirm your identity and to proceed with the notarization process.
- One piece of government-issued photo identification (e.g., a driver’s license or passport) is required, or
- Two pieces of government-issued non-photo identification (e.g., birth certificate, social insurance card, or health card with signature**).
The identification you present must clearly display your signature to be accepted.
It is important that you do not sign or date any documents before coming to our office.
The role of the notary public is to accurately verify your identity and witness the document signing in person. This ensures that the process is legally valid and in compliance with official standards.
In many situations, such as when submitting applications or supporting documentation, you may be required to provide identification documents (e.g., birth certificate, passport, or driver’s license).
Instead of submitting the original documents, you will typically need to provide a certified true copy.
A certified true copy is a replica of the original document that has been verified and certified by a notary public as an accurate copy.
There are two main types of certified true copies:
- Certified true copy issued by a government office: This is a copy provided by the same government office that originally issued the document.
- Traditional certified copy: A photocopy of a document that is certified by a notary public as an authentic reproduction of the original.
When you need a certified copy of either type, you must bring both the original document and a copy to the notary public. The notary will carefully compare the two, ensuring the copy is an exact match. Once verified, the notary will certify the document by dating, stamping, and signing it to confirm its authenticity as a true copy.
